This utility lets you perform the following operations on Text (*.txt, *.csv, *.prn), Microsoft Word (*.doc, *.docx), Adobe Acrobat (*.pdf) and Microsoft Outlook (*.pst) documents on your system.

  • Create word summaries
  • Search for a series of key words and phrases
  • Extract text

To begin, run the program (the installer placed a shortcut to it on your desktop), select a folder and then click on the Scan button.

Word Summary

Once you've scanned your folders, click on the Summarize button to create a word summary.

Notes:

  • Click on the Excel icon to save the results to an Excel worksheet.
  • Double-click a column heading to sort the results by that column.
  • Windows Copy (Ctrl C) and Paste (Ctrl V) commands can be used in any of the program's grids.

Keyword Search

To perform a keyword search, click on the Word Search tab and enter the words and phrases that you'd like to search for.

Notes:

  • If your list of words is in an Excel column then simply copy and paste them into the space provided.
  • The word search is not case sensitive.

  • Right-clicking anywhere on the grid brings up a context menu.
  • Click on the plus and minus icons in the left margin to expand and collapse the grid.
  • Click on the Excel icon to save the results to an Excel worksheet.
  • Windows Copy (Ctrl C) and Paste (Ctrl V) commands can be used in any of the program's grids.

Text Extraction

This feature lets you extract each document's text and save it into a single file.

Enter the name and path of the file you'd like to have the text saved in and then click on the Extract button.

The text from each document is wrapped within tags in the target document.

Microsoft Outlook (*.pst)

To perform keyword searches, word summarizations and text extraction on Microsoft Outloook data, click on the Outlook tab, select a folder and then click the Scan button.

Notes:

  • Click on the browse button to select an Outlook folder.
  • Microsoft Outlook must be open and running on your computer with the desired *.pst files open.
  • Microsoft Outlook 2007 or better is required.
  • Once you have scanned an Outlook folder you can use the Word Summary, Word Search and Text Extraction functions in the same way as you do for regular files on your system.

Save a copy of this file on your computer. Once the download completes open or run it to start the installer.

Once the installer completes, you can run the program by double-clicking the icon on your desktop or from your your Windows Start Menu:

Start -> All Programs -> ActiveData Text Analytics -> ActiveData Text Analytics Tool

If you're running ActiveData 5.0.504 or later then the ActiveData Text Analytics installer will add an option to ActiveData's Import menu allowing you to start the program from the ActiveData ribbon in Excel.

Notes

ActiveData Text Analytics requires that you have Excel 2007 and Word 2007 (or better) installed on your machine.

ActiveData Text Analytics is a stand-alone application and is run from your Windows Start Menu or Desktop.

ActiveData Text Analytics does not require that you have ActiveData installed on your machine.

Use Control Panel -> Add / Remove Programs (XP) or Programs and Features to uninstall.

ActiveData Text Analytics is a 32-bit (x86) application and runs on Windows XP or better.

ActiveData Text Analytics is installed on a per-user basis.

ActiveData Text Analytics uses COM automation and .NET 4 Interop to read MS Word documents and to create its workbooks with Excel.

ActiveData Text Analytics uses ADODB with the Microsoft.ACE.OLEDB.12.0 provider and ADOX to read Access databases.
